Frequently asked questions

  • How to become a partner?

    Complete our Vet Enquiry Form online. Once we receive the form, we will set up your account in our Vet Portal. 

  • How to login to the Vet Portal?

    After we set you up in our Vet Portal, you can log in by entering your registered email address on our Vet login page.

    A secure login link will be sent to your email. Simply click the link, and it will take you directly into the portal – no password is required

  • How to submit a collection request?

    Once you log in to our Vet Portal, you’ll find the collection request form.

    Simply enter the owner and pet details, select the required service and your preferred collection date, then submit the request.

  • What information do I need to submit a collection request
    • Owner’s full name
    • Pet’s details (name, weight, and type)
    • Preferred collection date
    • Whether the family would like ashes returned
    • Choose an urn if ashes are being returned (customer is welcome to supply their own urn)
    • Attach the pet photo for the paper photo frame (optional)
  • Do you offer same-day collections?

    Our team can arrange same-day or scheduled collections directly from your clinic. Collection is free for all partner clinics located in Auckland.

    Families are also welcome to bring their beloved pet to our Takapuna facility if preferred.

    For urgent requests or after-hours support, please call us. We will do our best to arrange a suitable collection or drop-off time. An additional fee may apply for an after-hours service, depending on the arrangement.

  • What happens after a pet is collected?

    1. Arrival and identification

    We confirm the pet’s identity against the clinic request and record their arrival into our care.

    2. Keepsake preparation

    Paw prints, nose prints (if conditions are allowed) and fur clipping are prepared. If a photo is provided, we also prepare the paper photo frame.

    3. Individual aquamation

    The pet is cared for individually, following our identification procedures throughout the process.

    4. Return preparation

    Ashes are typically returned to your clinic within 5–7 days. Families are also welcome to collect them directly from our facility, and delivery can be arranged if needed.

  • How can I change or update a request after submitting it?

    If you need to make any changes after submitting a request, please contact our team directly. We can update the collection date, service details, owner or pet information for you.

  • How does billing work?

    All services requested through your Vet Portal will be billed directly to your clinic. We’ll send a monthly statement on the 1st of each month for services provided in the previous month.

    Your clinic partner discount will be applied automatically.

  • Can families book directly with Gentle Waves?

    Yes. If a family prefers to book with us directly, please direct them to complete our online booking form and ask them to enter your clinic’s name in the ‘Your Vet Clinic’ field.

    Gentle Waves will manage the booking and payment directly with the family. Your applicable referral commission will then be credited to your clinic’s monthly statement.

  • Do you provide educational materials for clinics?

    Yes. We can provide brochures, farewell guides, and digital resources to help your team explain aquamation and aftercare options to clients.
